We collect the details needed to draft your Deed Poll and to post it to you, and nothing else. We never sell your data and we never hand it to another organisation to market to you. We may email you about our own services, and one click stops that for good.

Who is responsible for your data

What we collect
Three groups, and each exists for a reason you can see.
To draft your Deed Poll
- Your current name and your new name, which are what the deed records
- Your title, if you are changing it
- Your date of birth, which appears on the deed
- For a child, the child's details and the name of everyone holding parental responsibility
To take payment and post it
- Your postal address, because the document is posted and not emailed
- Your email address, for the order confirmation and any question a paralegal needs to ask
- Your telephone number, if you give one, used only if we cannot reach you by email
We never see your card details. Payment is taken by Stripe on a separate checkout, and Stripe tells us only whether the payment succeeded.
If you contact us
The message you send and the address you send it from, so we can reply and so a colleague can pick up the thread if you write again.
Why we are allowed to hold it
Under UK data protection law every use of your data needs a lawful basis. Ours are these.
- Performing a contract. Drafting and posting the document you ordered, and answering you about it.
- Legal obligation. Keeping records of sales for tax purposes.
- Legitimate interests. Keeping our own records of what we drafted, so that if a document is queried years later we can help, and telling our own customers about our own similar services. You may object to either, and marketing stops as soon as you ask.
- Consent. Analytics and advertising cookies, and email about services from other companies in our group. Only where you agree, and you can withdraw it at any time. See below.
Who else handles it
We use a small number of suppliers, and each is a data processor acting on our instructions. We do not give your details to anyone else, and we never sell them.

We may also disclose information where the law requires it, for example to a court or a regulator. That is rare, and we do not do it on request alone.
Cookies and consent
This site sets no analytics or advertising cookies until you choose. When you first arrive you are asked, and until you answer, measurement is switched off rather than merely hidden.
- Necessary. A single stored setting recording your cookie choice, and whatever your browser needs to load the page. No consent is required for these and they cannot be turned off.
- Analytics. Google Analytics, which tells us which pages are used and where people give up. Set only if you accept.
- Advertising. Google Ads, which tells us whether an advert led to an order. Set only if you accept.
You can change your mind at any time using the cookie link in the footer of every page.
Marketing, and what we never do
We never sell, rent or exchange your personal data, and we never pass it to another organisation for that organisation to market to you. This section says what we do send, and how to stop it.
Emails about our own services
Because you have bought from us, we may email you about our own similar services. That is what regulation 22 of the Privacy and Electronic Communications (EC Directive) Regulations 2003 allows a business to do for its own customers. Every message carries an unsubscribe link, and you can opt out at any time, using that link or by emailing support@deedpolls.org. We act on it straight away, and it never affects your order or the acceptance guarantee.
Other companies in our group
We would also like to tell you about services from other companies in our group. The law treats that as marketing from a different business, so we send it only where you have agreed, for example by ticking the box at the checkout. Agreeing is optional, it is never a condition of ordering, and you can withdraw it at any time in the same way.
Review invitations
We may invite you to review the service through Reviews.co.uk. You do not have to, and unsubscribing stops those too.
Emails about your order
Order confirmations, questions from a paralegal and dispatch notices are part of the service rather than marketing, so they are sent while your order is live whatever your marketing choices are.
How long we keep it
- Order records, including the deed we drafted: seven years, so we can help if a document is queried later, and because tax records must be kept for six.
- Email correspondence: two years from the last message.
- Contact form messages that do not become orders: twelve months.
- Analytics data: as set in Google Analytics, and only if you consented.
- Marketing preferences: for as long as you are on the list, and after you unsubscribe a record that you did, so we do not email you again by mistake.
After that it is deleted. If you ask us to delete something sooner we will, unless we are required to keep it.
Your rights
You have the right to ask us for a copy of what we hold, to correct it, to delete it, to restrict or object to how we use it, and to receive it in a portable form. Where we rely on your consent, you may withdraw it.
Email support@deedpolls.org and we will answer within one month. There is no charge. We may ask you to confirm who you are first, so that we do not hand your data to someone else.
If you are not happy with our answer
You can complain to the Information Commissioner's Office, the UK data protection regulator, at ico.org.uk. We would rather you told us first, but you do not have to.
How it is protected
Everything is sent over an encrypted connection, our suppliers are chosen for their own security posture, and access to order data is limited to the people who need it to do the work. No system is perfect, and we would rather say that than claim otherwise. If a breach ever put your rights at risk we would tell you and the Information Commissioner's Office.
Children
Our services are bought by adults. Where a Deed Poll is for a child, the child's details are supplied by a parent or guardian with parental responsibility, and are used only to draft the document.
Changes to this policy
If we change it we will update the date at the top of this page. Where a change materially affects how we use your data, we will say so plainly rather than quietly reissuing the page.
